Most 2026 freshers will show up to campus missing at least one of these documents.

Between now and September, every placed student must download their admission letter, apply for HELB and government scholarships, and prepare all documents required for physical registration.

JKUAT has already confirmed that first years report September 1, 2026 — and all students must create a student account and upload required documents BEFORE reporting week.

Most universities follow the same timeline. The window between now and September is shorter than it looks.

Here is every document you need — sorted by what to get first.

STEP 1 — Download Your Admission Letter

Visit your specific university's admission portal, select the 2026 September Intake, enter your KCSE index number, then download and print your admission letter. The letter contains your admission number, degree programme, faculty, reporting date, fee payment instructions, and a list of documents required during registration.

This is NOT downloaded from the KUCCPS portal. It comes from your university's own website. Check your university's official portal directly.

STEP 2 — Apply for HELB and HEF Scholarship

After downloading the admission letter, apply for government scholarships and HELB loans through the Higher Education Financing portal using your placement and admission details.

HELB portal opens second week of July. HEF scholarship opens at the same time. Apply immediately — early applicants get processed first.

These applications are separate. Apply for both.

STEP 3 — Prepare These Documents

These are standard across virtually all Kenyan universities for September 2026 reporting:

Identity ✓ National ID — front and back, scanned as PDF ✓ If no ID yet: birth certificate — scanned as PDF ✓ Both parents' National IDs — copies required by most institutions

Academic ✓ Admission letter — printed, from your university portal ✓ KCSE result slip — certified copy, scanned as PDF ✓ KCPE certificate — some universities require this too

Medical ✓ Medical report — filled and stamped by a registered medical professional ✓ X-ray or radiologist report — printed and stamped, issued after taking the X-ray film

Photo ✓ Passport-sized photographs — white background, cropped to square, file size under 2MB ✓ Most universities require 4–6 copies physically plus a digital version

Financial ✓ Bank account details — open one now if you don't have one. M-Pesa alone won't work for HELB disbursement ✓ HELB and HEF application confirmation — screenshot or printout of successful submission

STEP 4 — Activate Your University Email

All official communication from the university to students goes through the university-assigned student email. Students must activate their emails immediately upon receiving them — this gives access to the online library, WiFi, and all university systems.

The Mistakes That Send People Back Home on Reporting Day

✗ Downloading the admission letter from the wrong portal (KUCCPS instead of the university) ✗ Arriving with uncertified document copies — most universities require certified copies, not photocopies ✗ Wrong passport photo background — must be white, not blue or cream ✗ No bank account — HELB cannot disburse to M-Pesa for first-time university students ✗ No medical report — this takes time to get. Book the appointment this week, not the week before reporting ✗ Not uploading documents online before reporting — JKUAT and several other universities now require online upload before you physically show up

• Now — Download admission letter from university portal
• Second week of July — Apply for HELB and HEF scholarship immediately when portal opens
• July — Book medical appointment. Get X-ray done. Certify documents.
• August — Upload all documents to university portal if required
• September 1 — Report to campus with everything printed, certified, and organised
